 About Your Role 

This is a hands-on, full-time position responsible for leading the front office and clinic staff. This role promotes a welcoming and efficient front office environment that serves as the first point of contact for visitors, supports school operations, and ensures smooth daily communication and administrative workflows. This position does not conduct performance reviews, but will provide feedback to the Executive Assistant/Office Manager.

Work Hours: Monday - Friday, 207 Contract days. 7:30 AM - 4:00 PM. Hours vary and are dependent on business needs. 
Compensation Range: $20.53 - $25.15 per hour (depending on experience)

 Essential Duties and Major Responsibilities  

Operational Support

  • Serve as the office lead for day-to-day front office operations.
  • Collaborate with the Executive Assistant & Office Manager to establish and reinforce front office procedures.
  • Help coordinate front office flow and task distribution, including but not limited to:
    • Supply, Inventory, & Organization
    • Copying, Printing, & Laminating
    • Volunteer Onboarding
  • Support school event preparation and school-wide morale efforts, including birthday celebrations, staff recognition, and volunteer coordination.
  • Ensure Front Office Assistants & Health Aides take a lunch break
  • This position serves as a backup for the following:
    • Executive Assistant/Office Manager
    • Front Office Assistants
  • Health Office: This will require CPR & first-aid training provided by Bromley East Charter School
  • Operate a multi-line phone system and provide exceptional customer service in response to a wide range of inquiries.
  • Keep the Executive Assistant/Office Manager and administration informed of relevant updates and concerns.

Safety & Emergency Response

  • Implement emergency protocols as outlined in the Emergency Operations Plan and report urgent safety concerns to administration.
  • Serve as a member of the Medical Emergency Response Team and provide backup support to the health clinic.
  • Prepare and update student rosters for inclusion in office emergency binders.

Assist with other duties as assigned.

 Education & Experience Needed to be Successful

  • A high school diploma or equivalent is required.
  • 3+ years of office experience in a school setting is preferred.

 Specialized Skills 

  • Bilingual proficiency in Spanish and English is preferred.
  • Intermediate skills in communicating effectively, clearly, and professionally in both verbal and written forms with diverse audiences.
  • Intermediate knowledge of the Google Suite, Student Information Systems, and similar software, with the ability to quickly learn and adapt to new or updated programs.
  • Intermediate typing skills, with the ability to type with accuracy.
  • Intermediate planning and organizational skills, as well as attention to detail, with a demonstrated ability to meet deadlines and manage multiple priorities with frequent interruptions.
  • Intermediate ability to build positive relationships and deliver responsive, courteous service to students, staff, families, and visitors.
  • Advanced ability to assess needs, troubleshoot issues, and implement effective solutions in fast-paced or unexpected situations.
  • Advanced ability to uphold confidentiality and demonstrate sound judgment and professionalism in sensitive or high-pressure circumstances.
